Greetings to all of you. Following is an update on the ERP/HCM Project.
Over the past six weeks, many TAMUS staff and faculty members have given many hours and worked diligently to define and review requirements for the HCM RFP. We had 13 groups of subject-matter experts with over 100 participants who worked to develop the initial set of over 3200 requirements. We thank all of you and your staff who have participated in the process. I personally would like to thank Carol Manthei for her valuable and diligent efforts.
These draft requirements are currently out for review in Decision Director. As a reminder, Decision Director is the web-based on-line collaboration tool that allows us to accept comments and rating of the requirements from stakeholders around the system.
When the online review period ends in July the groups will reconvene to review the feedback and approve the final set of requirements.

There is a self-registration process available if you know of additional employees who would like to review the requirements.

The main body of the RFP is nearly complete, and it will be submitted, along with the detail requirements, to TAMUS legal and procurement reviews. The RFP will be issued and vendor responses received entirely online using Decision Director. One advantage of conducting the RFP with Decision Director is that we will have organized reports of the vendor responses which should help with the evaluation process.
We regret to say that we have been unable to launch the HCM project website. We are in discussions with a freelance web developer and with some modest funding, we hope to be able to contract with her to help launch the website in August.
Steering Committee/CFO Meeting
I will be attending the CFO meeting in July for another project update.
The timeline has moved a little, but we still expect to complete the selection process by the end of the year.
- We expect to send the RFP out the first of August.
- Responses will be due back by the end of August, or the 1st week of September.
- In September we will be internally evaluating the responses and determining a short list.
- In October we plan on scheduling vendor demonstrations in College Station and at 2 regional universities.
- After demonstrations, advisory group members will provide recommendations to their steering committee members.
- This will put us in position to make a decision by the end of the Calendar year.
