As all of you know, as a result of the Deloitte IT assessment, the Texas A&M System will be setting new direction for our major administrative systems, specifically the HR/Payroll and Finance systems. The assessment recommended that we look at our HR/Payroll systems first, but we think it is appropriate to look at both of these together.
Mark Stone has commissioned me with the project of leading the evaluation and decision making process. I have been working on a project charter and proposed framework for this project, which we will release early in January. This project is not the implementation itself, but a project to get the A&M System to a decision point. The project charter will include a governance structure that will most likely consist of a steering committee, an advisory/voting group, and two working groups – one for HR/Payroll and the other for finance.
The last couple of months, I have been doing some “scouting” of possible solutions, vendors, and a decision making framework. Beginning in January, we will be forming the appropriate groups and getting the project started.
The primary purpose of this email is three fold:
First, to give you a quick update.
Secondly, to ask you to identify potential employees that can participate on the working groups. I expect all TAMUS members to be represented at the steering committee and advisory group level, but I would like the working groups to consist of about 8-10 employees who may, at times, need to give 10-15 hours a week to this project over a 3-6 month period.
Lastly, to make you aware of a few dates and events. Workday has offered to perform a general assessment for us. They would like to come in on February 11, 12, and 13th. Oracle would like to come for a short half day visit on January 23rd to meet us and begin discussion. If possible, I would like members or potential members of the working groups to participate in these visits.
There will be additional opportunities for broader participation as the processes moves forward.
