Early in 2014, A&M System leadership determined the time was right to replace the software systems used for HR and payroll.
In the Spring and Summer of 2014, working groups developed a comprehensive set of requirements that formed the basis of the software selection RFP issued in August 2014. More than 475 A&M System employees participated in focused functional group discussions or as online reviewers, developing 3000 requirements when they finished.
In October 2014, the software selection evaluation team went to work reviewing responses and identifying 2 finalists to visit College Station, A&M-Commerce and A&M-Kingsville and showcase their solution using a script developed by the A&M System. Everyone who attended finalist’s presentation was invited to evaluate the finalist’s solution.
Workday was chosen as our HR/payroll solution in March 2015.
System Integrator / IV&V Selection
Once Workday was selected, the software selection project team started developing requirements for a partner to help us make Workday work for the A&M System. A RFP was issued in June 2015 and responses were received in July. An evaluation team consisting of current and future members of the HCM core project team was created and they are actively working to determine our System Integrator partner.
We have selected Deloitte as the sole finalist for our integration partner and we are working to get a signed contract in place.
During August 2015, work started to identify a partner who could provide oversight and help ensure that the solution we are developing with Workday and our System Integrator meets our requirements and is being built following a structured and high-quality process. This oversight role is often called IV&V – Independent Verification and Validation.
We are developing a RFP for our IV&V partner and hope to release it in September 2015.
In early 2015, the software selection team began laying the groundwork that needed to be accomplished before Workday and our system integrator joined the team. Project leadership was identified and opportunities for member involvement were developed and members were invited to participate with the Project Helios project team through a variety of roles. And, Workday training for Project Helios has been planned and scheduled for late September 2015.
